Federal Work-Study Program Supervisor Announcements
Welcome to the FWS Supervisors Announcements page! We post important information about FWS program deadlines and resources here throughout the year. We encourage you to periodically check for updates throughout each semester (and especially in the last two months of each semester). Check our highlights section below for questions and info common to the time of year.
Important Resources for Supervisors
There are several new resources available for prospective and current FWS supervisors to clarify and guide you through the Federal Work-Study Program, policies and procedures:

Important Dates
Summer 2024
- June 21, 2024 – Deadline for students to accept their FWS offer. Unaccepted FWS offers will be cancelled and new offers will be made to other students during the upcoming months.
- June 24, 2024 – Approved FWS Supervisors can begin submitting job descriptions in the JobX system for the academic year.
- July 8, 2024 – Approved students can begin applying for open positions.
- July 8, 2024 – Students who are not offered FWS may file an appeal request form via our Dynamic Forms system.
- Variable – Students who are eligible to only work in the summer must stop working their last day of attendance, whether in summer session I and/or II.
Fall 2024
- October 9, 2024 – Last day for a student to submit an FWS appeal for Fall.
- November 1, 2024 – Last day for an FWS Supervisor to submit a Job Description for Fall 2024.
- November 15, 2024 last day to submit an I-9 and NYS Labor form via the I-9 Upload form.
- December 21, 2024 – Last day for a student to work in an FWS position for the Fall term.
Spring 2025
- March 3, 2025 – Last day for a student to submit an FWS appeal for Spring.
- March 7, 2025 – Last day for an FWS Supervisor to submit a Job Description for Spring.
- April 4, 2025 – last day to submit an I-9 and NYS upload via the I-9 Upload form.
- May 22, 2025 – Last day for a student to work in an FWS position for the Spring term.
Highlights
Can I hire a student for the Summer?
There will be early job placement opportunities for eligible continuing Brooklyn College students who are enrolled for at least 6 credits in summer and/or fall starting July 8, 2024 as noted above. Note the student must maintain the 6 credits in the summer if not enrolled for 6 credit in the fall to be eligible for summer FWS.
When can a Student Start Working?
FWS Students may not work prior to the “Hire approval/Start Date”. Any work performed prior to that date cannot be paid for through the FWS allocation and must be paid out of your job site’s budget. Therefore, it’s imperative that you only allow the student to work as of the “Hire approval/Start Date”.
Why can’t I fill my positions?
There are always more jobs available than student applicants, therefore, there is no guarantee that the position posted will be filled.
Required Student Actions
FWS offers to students are made for the fall and spring semesters which they can view and accept on their CUNYfirst account. Students are notified by email of the deadline date to accept their FWS offers. Students must follow the process outlined in the Federal Work-Study Student Process Guide in order to be placed and hired into a position and to get paid.
Important Reminders
Job Description/Placement and Hiring Process:
- FWS supervisors are notified regarding the status of their job description(s) (see Step Guide 2: Step 2)
- Retain a copy of all forms with other placement and payroll documents for your records for a minimum of five years.
- The entire FWS process for supervisors is outlined in several step guides in the BC Knowledgebase accessible through the Federal Work-Study Supervisor Resource Hub. That serves as your primary resource for learning about submitting a job description and completing the hiring process.
FWS Student Employees
- May NOT replace regular Brooklyn College employees.
- May NOT be given the password to your official office/business accounts (this violates CUNY Computer Use Policy).
- May NOT be given keys to the job site
- May NOT be left unsupervised.
- May NOT begin work or be paid for hours prior to the approved start date indicated on the “hire approval e-mail” sent to the FWS supervisor and student employee.
